The “Reservation Approval” feature lets you keep control over how your spaces are used. Every booking request must be approved by an admin or manager before it’s confirmed.
Why use manual approval?
👉 To keep full visibility on who’s reserving what, when, and for how long.
👉 To review specific or sensitive requests.
👉 To avoid misuse or overbooking in high-demand areas.
But beware — manual means time-consuming.
Each request requires action on your side. And if it’s not approved in time? It gets automatically cancelled. No alert, no reminder. Just gone.
Timing matters
A pending reservation must be approved within 72 hours of the booking.
If the reservation is for “right now”, you must approve it before the start time — otherwise, it’s cancelled.
🕐 Example: if a room is booked at 9:00 for 10:00, you have until 10:00 sharp to approve it.
Where to enable it?
You have two options to activate manual approval:

From the space settings, under the Opening hours and conditions step, in the Reservation approval section.
→ Great for managing this setting space by space. -
From an assignment rule, in the rule settings, section Reservation approval, by selecting Manual instead of Automatic.
→ This is the fast lane: it allows you to activate manual approval for multiple spaces or multiple users at once. Ideal to target specific groups of colleagues or areas in just a few clicks.
⚠️ Heads-up: we strongly recommend setting a "Minimum delay before a booking" before reservation.
Why? Because if a user books a “validation required” space for immediate use and no one approves it in time, the reservation will be automatically cancelled.
