With MOFFI, access configuration is managed through rules:
1. Go to the “Rules” module
From your admin space, go to the “Rules” tab available in the main menu.
2. Create a new rule
Click on “Create a rule” and follow the steps:
- Name the rule (optional, but helpful for future management).
- Select the rule type:
- Access limitation to spaces (e.g., meeting rooms, open spaces, private offices).
- Reminders and confirmations:
- Notify users of upcoming bookings
- Ask users to confirm their bookings via your preferred tools
- Home office rules (e.g., allow a max of 2 days per week).
- Quota rules, granting a limited number of booking hours
3. Select the relevant spaces:
You can select not only spaces but also desks!
- Click on "Spaces" to choose the resource type
- Then select the spaces by adjusting the selector (default: "My company")
4. Define the users concerned
Select the users or groups this rule applies to, for example:
- All employees.
- Only members of a building or department.
- A specific group of managers.
5. Add specific conditions
- For on-site presence: Set a maximum lead time, minimum duration, free access...
- For home office: Define allowed days, frequency (e.g., 2 days/week), or exceptions.
- For quotas: Set limits (monthly bookings, restricted time slots, etc.).
💡Total flexibility: rules can include multiple options as needed.
6. Test and activate the rule
Once the rule is configured, MOFFI shows a summary to verify its impact. If everything looks good, click “Save” to activate.

- Home office: Ensure fair distribution by limiting remote days or assigning fixed slots.
- Access quotas: For example, limit to 3 meeting room bookings per week for certain groups, or reserve premium spaces for specific uses.

- Clearly name your rules: Makes long-term management easier.
- Test rules before large-scale deployment to avoid confusion.
- Disable a rule instead of deleting it: So you can reuse it later.
- Communicate with users: Explain new rules to ensure understanding and adoption.

- Meeting room access: Give unlimited access to all employees, but restrict premium rooms to a specific group.
